Transparency

Practice Policies

We believe in clear, honest communication. These policies help us provide the best care possible while keeping expectations transparent.

Billing & Payment

All payments and insurance billing are processed through Headway, our third-party billing partner.

  • Patients are responsible for verifying their specific insurance coverage, though Headway also performs verification.
  • We accept both out-of-network and self-pay patients. Payment is due at the time of service.
  • Super bills can be provided upon request for out-of-network reimbursement.

Appointments & Cancellations

We understand life happens. If you need to cancel or reschedule, please give us at least 24 hours notice.

$75 fee applies for no-shows or cancellations with less than 24 hours notice. This fee is out-of-pocket and not covered by insurance.

Excessive missed appointments may result in discharge from the practice.

Medication Refills

Patients are strongly encouraged to address refills during scheduled follow-up appointments.

  • If a refill is needed outside of an appointment, 72 hours notice is required.
  • Adding, stopping, or changing medications requires a scheduled appointment, unless the adjustment was specifically discussed and planned during a previous session.

Controlled Substances

A diagnostic evaluation or prior record review is required before prescribing stimulant medications (e.g., Adderall, Vyvanse). Existing evaluations or testing records from other providers can be sent to us for review.

  • Random urine drug screening and/or medical clearance for cardiac risk factors (e.g., hypertension) may be required.
  • Long-term benzodiazepines (Xanax, Ativan, Valium) are not prescribed for chronic conditions. Short-term use (e.g., flight anxiety) is considered on a case-by-case basis.

Telehealth Note: Virtual prescribing of controlled substances is currently permitted under a federal waiver. If this waiver expires without extension, virtual patients may need to transition to an in-person provider for these medications.

Mutual Respect & Discharge

The therapeutic relationship is built on mutual trust and respect. We are committed to providing a safe, respectful environment for everyone.

Our practice maintains a zero-tolerance policy for threats, verbal abuse, or similar behaviors toward staff. Such actions result in immediate discharge from the practice.

Have questions about our policies? We're happy to help.
