Eclipse Mental Wellness, PLLC
Practice Policies
Billing

Payments to Eclipse Mental Wellness are facilitated through Headway, a third-party billing company. Headway performs insurance verification, however we recommend that all existing and potential patients call their insurance provider to verify coverage prior to receiving services as there are many different plans available among insurance companies and benefits could vary.

We accept patients who are out-of-network as well as self-pay. For both of these patient types payment is due at time of service, and we can provide the patient with a super bill to submit for out-of-network reimbursement.

Appointments

Appointment "no shows", as well as appointments cancelled last minute (within 24 hours) may be subject to a $75 fee that is an out-of pocket cost not covered by insurance. Patients with excessive missed appointments may be subject to discharge from the practice.

Medication

It is strongly encouraged that all medications are refilled during scheduled follow-ups, and we recommend that follow-up appointments be made whenever possible during your appointments to ensure that you have enough medication to last you until your next visit. We understand, however that sometimes this is not possible due to planned trips, illness, etc and therefore we require 72 hours notice for medication refills outside of appointments.

During your appointment, part of your treatment plan could consist of contacting your provider between appointments to make a medication adjustment. This is something that would be discussed ahead of time and is a planned occurrence. For other requests to add/stop/change a medication we require a scheduled appointment to allow the time and attention needed to evaluate for appropriate treatment recommendations.

Controlled Medications

Current Federal and State laws allow patients to access mental health care virtually to receive controlled substances (such as ADHD medications) without an in-person appointment due to a federal waiver instituted temporarily during the Covid-19 pandemic. This waiver is set to expire near the end of 2024, and this may mean that virtual clients will be unable to receive ADHD medications after that time. Should this be the case, Eclipse can help facilitate a referral to another, in-person provider.

Eclipse uses stimulant medications (such as Adderall, Vyvanse, etc) for treatment of conditions such as ADHD. We can initiate a diagnostic evaluation to assess for these conditions, however if patients have received this testing or evaluation in the past records can be sent to Eclipse for review. Patients receiving this medication understand that they may be required to have random urine drug screening submitted, and may require medical clearance if they have cardiac risk factors such as hypertension, known heart condition, etc

Eclipse does not prescribe long-term benzodiazepines (Ativan, Xanax, Valium) for chronic conditions. These medications are only prescribed by our providers for short-term use (flight anxiety, grief response, etc).

Discharge from Services

Optimal mental health care is dependent on a provider-client relationship built on mutual trust and respect. Due to this, Eclipse does not tolerate threats, verbal abuse, or other similar actions and behaviors and our policy is immediate discharge from the practice.
